Deploying AI-Powered Workforce Management

AI is nothing new. The term was coined in 1956 at the Dartmouth Conference and the first chat bot that was used by consumers was built in 1960. We use it to research, navigate roads, autocorrect our writing and even make phone calls. We use it every day.

As AI capabilities advance, humans find more and more ways to utilise its functions to our benefit. Therefore, it is a natural evolution that AI becomes ingrained as part of our global workforce. With continuing talent shortages, skills gaps and the complexities of global economic shifts, the question for organisations is no longer whether to adopt AI, but how to do so strategically. The key is to rethink what work should be manual versus what can be automated and how AI can be embedded into your workforce solutions.

This isn’t about replacing humans. It’s about giving our people the cheat code: intelligent tools that elevate decision-making, streamline operations and unlock greater efficiency.

Practicing What We Preach

At Allegis Global Solutions, our commitment to workforce technology leadership drives us to continuously evaluate and implement innovative solutions and determine the best ways forward for both our clients and our internal teams. As part of this effort, we incorporated automation and generative AI into our daily operations to assess their effectiveness.

Over the past two years, we have automated over 30 million actions in our practices and carefully measured the outcomes. Notably, the deployment of Microsoft 365’s Copilot across our organisation resulted in significant productivity gain. In just six months, our teams achieved the equivalent of a year’s worth of productivity. This transformation was profound.

With continuing advances, we realise that our operating models require significant adaptation to the opportunities that AI brings. In addition to AI and generative AI applications, we are also focusing on bringing agentic AI into our programs. AGS Managed Services (AGS) has been adding new roles with expertise in agentic AI and upskilling our teams to build strong foundational knowledge on how to use these agents.

Rapid Adoption Adds Pressure to the Market

The global AI market is estimated to be worth more than $391B USD with a forecast to grow to $1.8T in five years. This growth rate is faster than those we experienced during the cloud computing boom and the mobile app economy. Approximately 42% of large enterprises in the EU have already implemented and are using AI tools.

Advances in AI and agentic AI are moving at such an extreme pace that AI innovations are quickly getting eclipsed by something newer, smarter, faster. Massive shifts continue to be announced every few weeks as technology businesses race to develop the next iteration of AI.

With this level of rapid innovation and adoption, businesses need to take a critical view of their workforce strategies to identify how best to incorporate AI into their processes for future success.

AI’s Influence on Workforce Solutions

There is no doubt that AI is redefining how organisations get work done. AGS is poised to guide our clients as they navigate this transformation to capitalise on the benefits of AI and automation within their workforce programs. Using Acumen, we integrate AI into our managed services provider (MSP), recruitment process outsourcing (RPO), direct sourcing and procurement solutions offerings to help our clients stay competitive in the evolving market.

Acumen® Intelligent Workforce Platform

Acumen® Intelligent Workforce Platform is an intelligent workforce platform that is enabled through generative AI and machine learning to act as the front door to all AGS workforce solutions. Aligned to the Universal Workforce Model™, it builds custom models to interpret job descriptions and generate success profiles, sourcing plans, screening questions and culture fit recommendations for evaluating candidates.

Intelligence is embedded directly into Acumen’s requisition intake workflow, automating selected tasks and enabling users to work more efficiently. This approach enhances consultative capabilities, supports technical roles without requiring technical expertise and enables teams to lead strategic, data-driven conversations with hiring managers.

To ensure that we deliver the most up-to-date tools for our clients, we continuously evaluate Acumen for ways to make it the most innovative technology solution in the market. By bringing workforce planning and insights closer together and using AI to power the consultative elements of our service, we can add value to our clients’ programmes. We continue to test new technologies, such as the new PowerBI CoPilot features and new interfaces with common tools such as Microsoft Teams and Slack.

We also collaborate with leading HR technology innovators to make sure Acumen delivers results through all the best features of AI:

Agentic AI

These partnerships and innovations empower our recruiters and client delivery teams to focus on high-value interactions and providing unmatched value to our clients.

Applying AI to Procurement Services

Clients can revolutionise their services procurement processes to find greater accuracy and faster results through the application of AI. Analysing SOWs using the company’s historical data and anonymised market information enhances our understanding of the SOW. AI systems can decrease the time spent analysing different proposals and quickly review cost and capability comparisons. They also reduce intake time from months to weeks, making procurement teams more efficient and effective.

How AGS Integrated AI to Achieve Real Results

AGS has deployed advanced AI capabilities to provide our clients with a competitive edge and increased productivity. We have developed, customised and integrated AI into our core solutions, allowing for seamless account management within the scope of our existing services. Applying AI yielded the following results for various fortune 500 companies:

  • Achieved 30% higher accuracy and 50% faster invoicing reconciliation process
  • Enhanced user experience, visibility and improved intake conversations
  • Captured 56% of job orders requiring after-hours turnaround, without adding overnight headcount
  • Increased recruiter throughput by 25% through augmentation of candidate interactions
  • Developed cost-saving strategies by optimising sourcing channels

How AI Shapes the Skills-Based Organisation

AI can significantly enhance the skills-based approach to hiring and managing talent. Using AI tools, workforce leaders can take a more meaningful look at their current team’s skills, identify gaps and extract key data from job descriptions to build effective success profiles. With AGS’ Acumen, we create success profiles based on four key attributes:

  • Skills: Technical and soft skills relevant to tasks
  • Competencies: Behavioural traits and capabilities
  • Experience: Qualifications and past performance
  • Values: Alignment with organisational culture

With the data in place, a strategy can be developed to determine which roles should be filled by full-time employees (FTEs), when to engage the extended workforce (i.e., contingent workers or services providers) and which tasks should be automated. By combining the computing power of AI and the knowledge and creativity of the human mind, the hybrid human/AI model enables organisations to match people to tasks with precision, ensuring that the right talent is deployed at the right time.

How Agentic AI Raises the Bar

Agentic AI is a huge advancement in the world of AI. As an autonomous system capable of making decisions and performing tasks without human intervention, these systems are designed to think and act independently, solving complex problems and seamlessly interacting with a wide range of tools and data sources. The potential applications for this technology within workforce management are vast, and we are just scratching the surface of its possibilities.

At AGS, we are leveraging agentic AI within our invoice reconciliation processes to streamline execution, resulting in a 30% improvement in accuracy rate and reducing automation development time by 50%. We are experimenting with FAQ agents that can guide every step of the hiring, procurement and workforce management processes. Additionally, agentic AI is being used to research and summarise historic hiring trends combined with external market data to better inform requisition intake conversations.

We are now learning to build with agent to agent (A2A) connectors, allowing agents to interact with each other, which could provide unprecedented speed of deployment, simpler connections between data sources and extremely dynamic solutions.

AI in Workforce Management: Adapt or Risk Obsoletion

AI capabilities continue to expand, and it is imperative that businesses looking to stay competitive adapt to these changes. This process will require complete organisational buy-ins, deployment of change-management principles, clear definitions of desired outcomes and an expert partner to help ensure a smooth, well-paced transformation.

Workforce leaders need to rethink their processes with AI in mind. It is not about automating existing workflows but instead redefining processes and envisioning new possibilities to achieve strategic objectives. At AGS, we are committed to guiding our clients through this journey, helping them unlock the full potential of their workforce and technology investments and maintain compliance as global governments continue to regulate AI in the marketplace. Through the power of AI, we assist companies in building agile, high-performing teams that deliver measurable impact and tangible results.
